Terms and conditions

Last updated

27 August 2026

These terms cover use of the website and general trip enquiries. Confirmed trips may be covered by more specific booking conditions.

01

About these terms

These terms explain the general basis on which visitors, schools, parents, guardians and partners may use the Cultures Exchange Ltd website and make enquiries about school travel, cultural exchanges and sports trips.

Specific confirmed trips may have separate booking terms, payment schedules, consent forms, risk information or supplier conditions. If there is a conflict, the written booking information for the confirmed trip will take priority.

02

Website information

We aim to keep the website accurate and useful, but trip details, destinations, activities, prices, availability, accommodation and routes may change before a booking is confirmed.

Images, sample itineraries and descriptions are used to show the style of experience. They do not guarantee that every trip will include the same venue, activity or schedule.

03

Enquiries and bookings

Submitting an enquiry does not create a confirmed booking. A booking is only confirmed when Cultures Exchange Ltd confirms the arrangement in writing and any required deposit, documents or approvals have been received.

Schools, parents and guardians are responsible for providing complete and accurate information when requested, including student details, medical information, dietary needs, emergency contacts, passport details and visa information.

04

Travel documents and visas

Cultures Exchange Ltd may provide visa guidance and support, but visa decisions are made by the relevant authorities. We cannot guarantee that a visa or travel permission will be granted.

Travellers, parents, guardians and schools are responsible for making sure passports, visas and required documents are valid and supplied on time unless a written agreement says otherwise.

05

Safety and behaviour

Students must follow the safety instructions, supervision rules, venue policies and behaviour expectations given by Cultures Exchange Ltd, the school, group leaders and trip partners.

If a traveller behaves in a way that risks their safety, the safety of others or the successful delivery of the trip, Cultures Exchange Ltd may take reasonable steps to protect the group, including contacting parents, guardians or the school.

06

Payments, changes and cancellations

Payment dates, deposits, refund conditions anf cancellation charges should be set out in the booking information for each confirmed trip.

If a traveller, parent, guardian or school requests a change, we will try to help where possible, but changes may depend on supplier availability and may involve extra costs.

07

Third-party suppliers

Trips may include services from airlines, coach companies, accommodation providers, venues, activity providers, restaurants, insurers or other suppliers.

Supplier rules may apply to those services. Cultural Exchanges Ltd is not responsible for disruption caused by events outside its reasonable control, such as severe weather, strikes, border decisions, flight changes, venue closures or government restrictions.
